Most written apologies fail on a single word, and it is nearly always one of three: but, if, or you.

Say what it did, not what you meant

Intent is the thing you want to talk about and effect is the thing they need to hear.

  • You had been looking forward to it for a month and I ruined it.
  • I embarrassed you in front of people whose opinion matters to you.

This part is uncomfortable to write, which is exactly why it carries weight. Anybody can write the word sorry.

Say what changes

Regret without a change is a feeling rather than a repair.

  • I am not going to do it again, and I have thought properly about why I did it.
  • I have spoken to them and put it right.
  • Next time I will tell you in advance instead of leaving you to find out.

Keep the promise small enough to keep. An overlarge promise is its own broken thing later.

Ask for nothing

This is the part almost everybody gets wrong.

Do not ask to be forgiven. Do not ask them to call you. Do not ask them to let you explain. An apology that requests an outcome is a transaction, and it places the reader under obligation at the moment you owe them one.

When you are not sure what you did

Sometimes you know somebody is hurt and not exactly why. Do not guess and do not pretend certainty.

That is a complete apology and it took four sentences.

When it is a serious one
