What to Write in a Congratulations Card for Anything
What to write in a congratulations card for a promotion, a graduation, a new home or an engagement, plus the sentence structure that works when you barely know them.
- Write the sentence you would say if they were standing there, then cut the first half. What survives is almost always the honest part.
- Never sound surprised. I always knew you would is warm; I cannot believe you did it is a backhanded compliment that gets noticed.
- Name the specific obstacle they got past. It proves you were watching rather than reacting to an announcement.
- For anything achieved after a setback, mention the setback. Getting there the second time is the harder and better story.
Most congratulations cards congratulate the event. Well done on the promotion. Congratulations on the house.
The better card congratulates the work, because the result was public and the effort behind it usually was not. That is the part people want acknowledged and almost nobody mentions.
The rule: congratulate the work
- Congratulations on the promotion. You have been doing that job for eighteen months already and it is good that somebody finally noticed.
- Well done. I know how much of last year went into this.
- Congratulations. Nobody watching from outside knows what this cost you, and I do.
Every version of that lands harder than a line about the achievement itself.
Never sound surprised
This is the most common misfire, and people always notice it.
"I cannot believe you did it" is intended as enthusiasm and reads as low expectations. So does "you actually did it" and "who would have thought".
The safe version runs the other way.
- I always knew you would.
- This was never in doubt.
- Absolutely no surprise to anybody who knows you.
For a promotion or a new job
- Congratulations. They are lucky and it took them long enough.
- Well deserved and about time. Enjoy telling everyone.
- Congratulations on the new job. Their gain, our loss, and I am not fully over it.
- You have earned this. Go and be unbearable about it for a week.

For exams and results
The register depends on whether the result was expected. If it was a struggle, say so, because getting there the hard way is the better story.
- Congratulations. You worked harder for this than anybody I know.
- Well done. Two years of that and it is finished.
- I know how much you hated every minute of it, which makes this better.
- Congratulations. Now stop revising, it is over.

- You got knocked down over this once already and you went again. That is the impressive part.
For a colleague
Warm, specific, short, and about the work.
- Congratulations. The Preston job would not have happened without you and everybody knows it.
- Well deserved. Thanks for everything on the migration, which nobody else would have finished.
What to avoid
- Anything that sounds surprised.
- Making it about you. "Now who am I going to sit with" is a nice second line and a bad first one.
- A warning. Enjoy it while it lasts, wait until you see the mortgage, sleep now. All standard and all slightly deflating.
- Comparing it to your own version of the same event.
